How we increased our Total Reward Statements access rate

Cath Wright, head of employment services and electronic staff record (ESR) lead for Nottinghamshire Healthcare NHS Foundation Trust, shares how the organisation encouraged staff to access their Total Reward Statements (TRS). The trust achieved a 48 per cent access rate in 2015-16, which put it in the top five trusts for that period.

When TRS first became available in August 2014, we knew our challenge was to engage our staff and encourage them to access TRS to see their overall reward package and pension benefits in one place.

Each year, we stage our approach over a number of months, starting with emails that alert staff that the statements are coming. We also use the promotional materials available on the TRS website including the posters - TRS is coming, TRS is here, and Have you checked your TRS statements? We display them on notice boards across the trust, on our intranet site, cascade the messages via operational HR colleagues at directorate meetings, and through HR, payroll & pensions email signatures. Our other communication channels include payslip leaflets and the trust newsletter.

We are an ESR employee self-service trust. This has given staff a simple access route for TRS as they already access their personal and payroll information this way. TRS was a welcome addition to our existing system.

We have a dedicated internal TRS email address and work closely with payroll and pensions colleagues to answer queries. In the first year, there were a number of data and special class status queries but these were quickly dealt with. We don’t receive a lot of queries now that staff are more familiar with TRS.

We upload our rewards onto the local benefits page of TRS. This helps raise awareness of the benefits we offer such as our salary sacrifice schemes, public transport discounts and discounted gym membership. Updating the local benefits page is easy to do and we plan to keep it up to date.

We continue to communicate with staff about TRS, including monthly reminder emails, payslip messages, updates on our intranet site, HR newsletters and email signatures for both HR, payroll and pensions colleagues.

We feel that it’s important to continue to update and remind staff so that they get the best out of the information available to them through TRS. Moving forward, we plan to add a direct link to TRS from the homepage of ESR self-service to encourage even more staff to access their statements.
